Billing, Cancellation & Refund Policy

This policy explains how billing, cancellation and refunds work for the RewardSuite subscription. It applies to the gym or business that subscribes to RewardSuite (our "Business Customer"). The RewardSuite member app is always free for your members.

1. Subscription & billing

RewardSuite is a rolling subscription with no fixed-term lock-in contract. Your chosen plan is billed in advance and renews automatically each billing cycle until you cancel in accordance with this policy.

A one-time, non-refundable setup fee of $99 AUD applies to new Business Customer accounts, covering onboarding, configuration, training and initial setup of your loyalty program (this may be waived during early-access or promotional periods).

Prices are shown in Australian Dollars (AUD) and may be exclusive of GST where applicable. We may change pricing with at least 30 days' notice; any change takes effect at your next billing cycle after the notice period.

2. Immediate access

New subscribers gain immediate access to the RewardSuite platform on sign-up, via login details emailed to the address used at registration. If you have any trouble receiving your login details or accessing the platform, please contact us and we'll help right away.

3. Cancellation & notice period

You can cancel at any time. Because RewardSuite operates much like a gym membership, cancellations are subject to a one (1) calendar month notice period.

  • To cancel, email support@rewardsuite.app (or use the cancellation option in your dashboard). The notice period begins on the date we receive your request.
  • Your subscription remains active — and the standard monthly fee continues to apply — throughout the one-month notice period, so your members keep their loyalty program running right up to the end.
  • At the end of the notice period your subscription ends and no further fees are charged.

We ask for a month's notice so neither side is caught short — it gives you time to wind down your program and gives us time to action your request properly.

4. Refunds

RewardSuite is a digital service delivered on a subscription basis. Subscription fees already billed (including for the current and notice-period months) are non-refundable, and we do not provide partial refunds for unused time within a billing period.

This does not apply where we agree otherwise in writing — for example, if we are unable to deliver the service due to a fault on our side.

5. What happens to your data on cancellation

When your subscription ends, your admin dashboard is deactivated and your members' apps stop earning and redeeming. On request before your subscription ends, we can provide an export of your members and core loyalty data. We retain data after cancellation only as long as needed for our legal and operational obligations, after which it is securely deleted. See our Privacy Policy for details.

6. Your rights under the Australian Consumer Law

Nothing in this policy excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law or other applicable law that cannot lawfully be excluded. If a service we supply fails to meet a consumer guarantee, you may be entitled to a remedy as provided by law, and this policy applies in addition to (not instead of) those rights.
